How far in advance should we book a corporate event?

Two to four weeks is comfortable for most conferences and company parties. Larger installs — staging, LED wall, a tent — are worth booking earlier, particularly between March and May and again in October and November, when graduations and the holiday season take most of our inventory.

Can you deliver outside business hours?

Yes. Most corporate installs happen the evening before or early on the morning of the event, and we schedule around building access rather than our own convenience. Tell us the loading dock hours and the freight elevator situation when you book and we will plan the run around them.

Do you provide an on-site technician?

We install and test audio-visual equipment as part of delivery, but no operator is supplied with the rental. If you need someone to run sound or lighting through the event itself, tell us at quote stage and we will arrange it separately.

Do you invoice, or is payment due upfront?

A 25% deposit reserves the date and the balance is due five business days before delivery. For established accounts and municipal work we can raise a purchase order against those terms — ask when you request the quote.

What if our headcount changes?

Additions need at least 24 hours' notice before the delivery date, and are subject to what is still available. Reducing an order is easier, but the quote is re-priced at the smaller quantity rather than the original.
